1. Introduction
These Terms and Conditions govern the booking and provision of travel services by De Ceylonese ("we," "us," or "our"). By making a booking with us, you agree to be bound by these terms.
De Ceylonese is a UK-based travel agency specialising in bespoke holidays to Sri Lanka. We act as a travel agent and package organiser as defined under The Package Travel and Linked Travel Arrangements Regulations 2018.
2. Booking and Confirmation
2.1 Making a Booking
A booking is made when you submit an enquiry and subsequently accept our proposal by paying the required deposit. The lead passenger must be at least 18 years old and has authority to make the booking on behalf of all persons included.
2.2 Deposit and Payment
A deposit of 25% of the total holiday cost is required to confirm your booking. The balance is due 10 weeks before departure. For bookings made within 10 weeks of departure, full payment is required at the time of booking.
2.3 Confirmation
A binding contract exists once we have received your deposit and issued a booking confirmation. Please check all details carefully upon receipt.
3. Pricing
All prices are quoted in British Pounds (GBP) and are per person unless otherwise stated. Prices include the services specified in your confirmed itinerary and are based on current costs and exchange rates at the time of quotation.
We reserve the right to adjust prices in accordance with changes in transportation costs, currency fluctuations, or government taxes. Any increases exceeding 8% of the total package price entitle you to cancel with a full refund.
4. Cancellation by You
Should you need to cancel your booking, the following charges apply based on when written notice is received:
- More than 10 weeks before departure: Loss of deposit
- 8-10 weeks before departure: 50% of total cost
- 6-8 weeks before departure: 75% of total cost
- Less than 6 weeks before departure: 100% of total cost
We strongly recommend that you take out comprehensive travel insurance at the time of booking to cover cancellation costs.
5. Changes by You
Should you wish to make changes to your confirmed booking, we will do our best to accommodate your request. An administration fee of £50 per change may apply, plus any additional costs incurred from suppliers.
6. Changes and Cancellation by Us
6.1 Minor Changes
We reserve the right to make minor changes to your itinerary. These include changes to accommodation of equivalent standard, alternative experiences of similar value, or minor timing adjustments.
6.2 Significant Changes
In the rare event of a significant change (such as a change of resort area, accommodation downgrade, or change of departure time by more than 12 hours), we will notify you promptly. You will have the option to:
- Accept the changed arrangements
- Accept an alternative trip of comparable standard
- Cancel and receive a full refund
6.3 Force Majeure
We cannot accept liability for events beyond our reasonable control, including but not limited to war, civil unrest, natural disasters, government restrictions, or pandemics.
7. Our Responsibilities
We accept responsibility for ensuring that your package is arranged with reasonable skill and care. We will provide reasonable assistance if you encounter difficulties during your holiday.
We are not liable for any injury, damage, loss, expense, or inconvenience caused by the actions of third parties not connected with our services, or by events that we could not foresee or prevent.
8. Your Responsibilities
You are responsible for:
- Ensuring valid passports and any required visas
- Obtaining appropriate travel insurance
- Checking health requirements and vaccinations
- Arriving at airports/meeting points on time
- Behaving responsibly and respecting local laws and customs
9. Complaints
If you have any problems during your holiday, please inform your local representative immediately so that we can try to resolve the issue. If you remain dissatisfied, please write to us within 28 days of your return, and we will investigate thoroughly.
10. Travel Insurance
Adequate travel insurance is a condition of booking with us. Your policy should cover cancellation, medical expenses, repatriation, and personal possessions. Please check that your policy provides adequate coverage for your planned activities.
11. Jurisdiction
These Terms and Conditions are governed by English law, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
